Digitization Process
Identification of Digitization Requirements
- Identification of exact customer requirements to establish the best possible data digitizing solution that fulfills the needs of the customer
- Documents are collected from the customer and all unwanted physical artifacts (pins, paper clips and treads) are removed. The documents are then aligned for the scanning process
- Careful scanning the documents as high resolution image files
- Utilizing Optical Character Recognition (OCR), image documents are converted into text files. Over the years, OCR technology has considerably enhanced the ability to recover and store data in a reusable format
- Documents are saved with unique document identifiers (that include file names), metadata and word indexes extracted from documents. The documents are then organized in separate or combined PDF files as per client requirements. This is critical insuring appropriate tracking of digitized documents
- Quality checking is completed and then the data is uploaded to a CD. Once proper packaging is complete a final round of quality control and correction of any minor errors is reviewed. Once completed the CD or any digital equivalent is delivered to the customer with all project process documentation.
